User Groups Identify Opportunities for Improvement in Two Key Areas

Aggie Enterprise User Groups launched this summer, uniting diverse stakeholders from across UC Davis in a commitment to continuous improvement.

Three user groups have been established: Accounts Receivable (AR), Project Portfolio Management (PPM), and Supply Chain Management (SCM)/Purchasing. Each group meets monthly with subject matter experts to discuss user experience, address support gaps and learn from each other. Together, they provide valuable front-line user insights to enhance communication, training, and resources.

Recent insights from user groups

Feedback from the user groups focused on two key opportunities to enhance the user experience: Knowledge Base Articles and Communication Channels.

Knowledge Base Articles (KBAs) 

  • Organization: User groups noted that KBAs could be better organized to align with workflows. We now have Table of Contents KBAs that catalog all related content in the order of the workflow. This update has been completed for AR (see Accounts Receivable Article List), with PPM and SCM updates in progress.
  • Videos: Through our conversations, we learned many users prefer how-to videos. While we have nearly 100 how-to videos in our Aggie Enterprise video library, many users were not aware of them. This led us to add prominent, eye-catching “See the Video” buttons to our KBAs to help alert users to available videos. See example, AR Update Memo Line Chart Strings When Creating an Invoice KBA. 
  • Supply Chain Form Links: After a User Group suggestion, we are working to ensure that Supply Chain Management form links within KBAs open in a separate tab for enhanced accessibility. See example, Add Attachments to Purchase Requisitions KBA.

Communication channels

  • Repository: To streamline access to Aggie Enterprise updates, we have launched the Stay Connected page. This page centralizes links to various communication channels, such as newsletters and events.
  • Pilot networking channels: In response to requests for networking opportunities, we are piloting user group specific channels (e.g., MS Teams) for information sharing and colleague interaction. Please note that these channels do not replace putting in a ticket when needed, nor is a SME available on these spaces. Early feedback indicates these channels are fostering valuable discussions. If the pilot is successful, we will provide more information to expand these channels to a broader user base.
